On October 26, we sent out a proposed draft Constitution and Standing Rules for you all to review. These two documents will be voted on at the AGM on January 17, 2026. We asked that if you are at least 80% happy with the documents, you vote in favour of them on January 17 and propose a resolution or resolutions to these documents for any changes you wish to make. The deadline to submit resolutions was November 17, 2025.
We did receive 9 resolutions for the constitution and no resolutions for the standing rules. Please review these 9 resolutions to see if you are in agreement with them. On January 17 we will first vote on the constitution. If the constitution is approved, then each one of these resolutions will be brought forth and voted on.
When reviewing these documents, there are few things to keep in mind. One is knowing the difference between a Constitution/Bylaws and the Standing Rules. We don't want to have things that belong in the standing rules end up in the constitution and vice versa. The board has worked very hard to build these two documents and keep them as separate distinct documents. Below are the definitions outlining the difference between the two documents.

Constitution/Bylaws – is the governance of the organization. It outlines the purpose and structure of the organization (name, mission, vision, board structure, board positions, board meetings, types of memberships and membership meetings,).

Standing Rules – rules and regulations that run the “day to day” operations of an organization. For SCHA this covers show rules, classes offered, how year end awards are tabulated, membership fees, etc.

The SCHA Board has been busy crafting a new Constitution and Standing Rules. Our current constitution and standing rules are outdated and in need of an overhaul. The purpose is to bring them up to more modern standards. Somethings to make note of:

In 82 days, the attached proposed Draft Constitution/Bylaws and Draft Standing Rules will be voted on at the AGM on January 17, 2026.

If there is something that you wish to change in either the proposed Draft Constitution/Bylaws and/or Draft Standing Rules, please draft a resolution (changes) and forward to Jolyn by November 17, (60 days prior to the AGM) at admin@cuttingsask.com

Any resolutions brought forward will be sent out to the membership by December 2 (45 days prior to the AGM).
